A fast and intuitive way for Polish businesses to generate legal registration documents
Pursuant to the applicable Polish law, commercial law companies are subject to a mandatory entry into the National Court Register (KRS).
An entry is made when the company is formed, the company’s structure or data is modified, and when the company is deleted. This means hundreds of thousands of applications submitted countrywide to KRS branches. Everything is done is a very archaic way - using paper templates of official forms. While it is impossible - on the grass-roots level - to change the form in which the courts accept applications, there is enough room for optimization of the application completion process itself.
The company Dokumenty Sp. z o.o. has designed a suitable solution in the form of the KRS Application Generator and chosen e-point for a technology partner and solution provider. Based on the ActiveForms technology, e-point created a dedicated application offering a fast and intuitive way to generate a set of applications and documents necessary to make an entry into the National Court Register.

By creating the KRS Application Generator we aimed to offer a tool that would optimize the lawyer’s activities to the highest degree possible and we’ve managed just that. We have shortened the time needed to complete a single application from several dozen minutes to just a few minutes. ActiveForms in the service of KRS
Interactive forms, which constitute the app’s core, utilize the powerful capabilities of the ActiveForms technology. This means a revolutionary - from the user’s point of view - departure from the manual completion of subsequent fields on the KRS application to a comfortable interaction based on clicks and data transferring. An additional value is the minimization of the risk of errors since validation mechanisms provided by the legislator are included in the electronic forms.
To create the app it was necessary to perform a thorough legal analysis, and break down all the processes and scenarios that make up the submission of an application to the KRS. This part of the work was performed by Dokumenty Sp. z o.o. e-point’s development team was responsible for careful implementation of scenarios based on the supplied instructions and process diagrams.
"The KRS application process for modifying a limited liability company’s information alone required nearly 150 rules to be implemented, and the tests themselves lasted three months. This shows the scale of the project’s substantive difficulty".
A unique feature of the app, which makes it even more useful, is the integration with the KRS database service delivered by Dokumenty Sp. z o.o. The data retrieved this way allows users to dynamically search for entities by name and identification numbers (KRS, NIP, REGON) and transfer the data contained in a KRS entry extract directly into another application . This drastically reduces the amount of data that the user must enter manually to generate the application.
Fill in, print out, submit
Currently, KRS Application Generator supports the process of reporting changes to entries for limited liability companies (Sp. z o.o.). We are already working on expanding the app with scenarios related to registering and deleting a company in/from the KRS. In the future, we will also implement modules that support other companies.
The user can print out the generated applications with attachments or download them as PDF or DOC files. The important thing is that the app uses official form templates made available by the Ministry of Justice (only such form templates can be used to report changes to the KRS). Apart from the applications and their attachments, the app also generates various types of declarations and money transfer forms.
Since September 2015, the KRS Application Generator app is offered as a specialized module of the Legalis legal information system of C.H. Beck publishing house.
